Payment & Billing Policy

TSM Agency provides promotional staffing and event talent services for trade shows, conventions, brand activations, corporate events, and marketing campaigns. To ensure smooth coordination and scheduling, all bookings require payment in advance.
1. Payment Terms
• 100% payment is required upfront to secure talent for your event.
• A booking is not confirmed until payment is received and you receive a confirmation email.
• Accepted payment methods include credit card, ACH transfer, or approved corporate payment systems.
• Bookings made within close proximity to the event date must be paid immediately upon receipt.
2. Rates & Estimates
• Rates vary based on number of talent, location, event schedule, and scope of work.
• Proposals and estimates are valid for 14 days unless otherwise stated.
• Additional tasks or role adjustments (e.g., sampling, lead capture, costume/wardrobe requirements) may result in rate adjustments with client approval.
3. Additional Hours & On-Site Changes
To maintain transparency and protect all parties:
• Talent may not accept additional duties, schedule changes, or extended hours directly.
• All changes must be coordinated through TSM Agency for approval.
• Approved additional hours will be billed at the agreed hourly or daily rate and invoiced after the event.
4. Late Payments
• If payment has not been submitted by the required deadline, talent will not be scheduled.
• Invoices for post-event additions are due upon receipt. Invoices outstanding more than 15 days may incur a 1.5% monthly late fee.
5. Refunds & Cancellations
Refunds and cancellation timelines are governed by our Cancellation & Rescheduling Policy.
We encourage clients to review that policy before finalizing a booking.
6. Receipts & Documentation
Upon payment, a receipt is emailed automatically.
Upon request, we can also provide:
• W-9
• Insurance certificates (where applicable)
• Vendor onboarding forms
• Written event confirmations
